Sending Personalized Mass E-mails

Hi everyone,
 Today I want to share what I learned about sending e-mail. As a teacher or pre-services teacher, we have to learn sending mass emails to students. It is easy to send the same e-mails to everybody. However, we can be obliged to send personalized mass e-mails. For this reason, I will explain to send personalized mass emails to a list from excel with mail merge function by showing example.
If I want to send grades to each student in the same mail, how can we do this?
 To solve this problem, the following methods may help you.
1.)    Firstly, in the EXCEL, create a table including the names, e-mails and grades.



2.)    Then open a new Word document and click Mailings > Select Recipients > Use an Existing List as in the picture.

3.)    Select the previous excel sheets with Open button and then in the coming Select Table click the OK.

4.)    After that; names, e-mails, and grades have been connected together, now, you arrange the text message and add placeholders that indicate where the unique information will appear in each message.
5.)    By clicking Mailings > Insert Merge Field > Name/Grade, the personalized names and grades can be inserted into the message, and the fields are surrounded by « » like in the picture.


6.)     Then, you can send the E-mails to the  recipients  thereby clicking Mailings > Finish& Merge > Send Email Message.

7.)    Then you see Merge to E-mail  box, you can do the following operations:
- From the opening list in "To" column, you should choose Email Address
- You can type the subject (grades) in the Subject line box;
-From the Send records part, you can select All or what you want.

8.)    Finally, click OK , the emails are sent to recipients with their own grades. After that, you can go to your Outlook account to make sure the emails have been sent successfully.
